Duties & Responsibilities
The Licensing Executive is responsible for coordinating and managing business licensing and regulatory submission processes to ensure compliance with all relevant authorities. This role supports the timely renewal of business licenses, coordinates architect plan submissions to local councils, liaises with external runners and government agencies, and monitors the progress of approvals. The Executive will maintain proper documentation, track application statuses, and provide regular updates to ensure smooth execution of store construction and operational compliance.
Key Responsibilities
1. Business License Renewal
• Coordinate and monitor the renewal of all business licenses to ensure compliance with local, state, and national regulations.
• Maintain an organized tracking system for license expiry dates and renewal schedules.
• Prepare and submit required documentation to relevant government authorities for license renewals.
• Follow up with relevant authorities to ensure timely processing and approval.
2. Architect Plan Submission
• Coordinate with architects, consultants, and internal project teams to prepare documents required for submission to local councils.
• Assist in submitting architect drawings and related documents for approval by local authorities.
• Ensure submissions comply with regulatory requirements and council guidelines.
• Monitor submission progress and follow up with councils or relevant departments to obtain approvals.
• Maintain proper records of architect drawings, submission documents, approvals, and correspondence.
3. Liaising with External Runners
• Coordinate with appointed external runners for submission and collection of licensing and regulatory documents.
• Ensure all necessary documents are prepared accurately before submission.
• Monitor the progress of submissions handled by runners and follow up when required.
• Assist in resolving any issues related to documentation or submission requirements.
4. TNB / Utilities Applications
• Assist in preparing and submitting applications related to Tenaga Nasional Berhad (TNB) and other utility providers for new stores or renovation projects.
• Track application status and coordinate with relevant authorities for updates or additional documentation.
• Ensure all utility applications are processed in accordance with project timelines.
5. Local Council Submission & Follow-up
• Coordinate submissions to local councils related to business licenses, project approvals, and regulatory compliance.
• Follow up on submissions such as architect drawings, fire safety approvals (BOMBA), and other council-related requirements.
• Maintain clear communication with council officers to facilitate timely approvals.
• Ensure all submissions and approvals are properly documented.
6. Documentation & Reporting
• Maintain an organized database and filing system for all licenses, submissions, approvals, and correspondence.
• Prepare regular reports on licensing status, council submissions, architect approvals, and utility applications.
• Update the reporting manager on progress, delays, or issues requiring attention.
• Ensure documentation complies with company policies and regulatory requirements.
